American Herbalists Guild (AHG) Office Manager
Part Time Position in Asheville, NC
The American Herbalists Guild is a non-profit, educational organization with over 2300 members. Founded in 1989, our mission is to promote a high level of professionalism and education in the study and practice of therapeutic herbalism. The AHG office is based in Asheville, NC.
The Office Manager position currently open requires skills in two areas, office management and event coordination.
As office manager, provide direct administrative support in the day-to-day functions of a small, but busy office. Responsibilities include management of our computer database (using File Maker and transitioning to CiviCRM), coordinate bulk mailings and routine shipping, handle routine email correspondence and phone messages, update posts on the AHG website, digital mailing list, and all other social media communications, perform routine cleaning and organization of the office including inventory management of office supplies, retail items and promotional materials, coordinate staff travel arrangements and manage and schedule workflow of various projects with other staff and office interns.
As event coordinator, coordinate the planning and execution of various events in conjunction with our annual symposium (held at various locations around the United States). Responsibilities include acting as point of contact for venue communications, overseeing facilities planning including contract review and negotiations, venue reservations for sleeping rooms, catering menus, various social event details such as live entertainment, working with vendors and suppliers, coordinating all symposium print materials, messaging via social media, and overseeing volunteers for on-site fundraising (silent auction). In addition, this position requires staffing AHG information tables at various regional conferences and fairs. This position requires a full week of travel to attend the annual symposium held at various locations around the country each fall, and shorter trips to attend daylong events.
The ideal candidate for this job is proficient with Apple Mac products, Outlook mail, Database CRM management, Microsoft Office, Social media apps, and basic website maintenance. The Office Manager must be able to respond to inquiries and promptly address any concerns from our large, diverse membership. They also act as the primary point of contact in the planning of various community events. Excellent verbal and written communication skills are required as well as the ability to manage schedules and work within preset timelines as a part of team that includes AHG staff, volunteers, board members and members.
Work site for this position is the AHG office in Asheville, NC. Office hours are Monday, Wednesday, and Friday, 10 am – 5:00 pm as well as occasional weekends and some travel. The Office Manager is expected to attend and work at the Annual AHG Symposium held in the fall (dates and locations vary from year to year).
Annual Part Time Salary: $15,000
